Working offline

This is the most important section of the documentation. Read it all the way through once and you won’t need it again.

Don’t get this wrong

Nothing gets lost. Everything you do on the road is saved on your phone the moment you do it and goes out by itself as soon as you get a signal: orders, collections, visits and returns. You don’t have to do anything.

How it works

When you close a visit or record a payment, it’s written to your phone first. The app then takes care of sending it. Meanwhile:

  • It keeps trying on its own every few minutes, even if you close the app.
  • If your phone shuts off or runs out of battery, what was saved is still there when you turn it back on.
  • If you send the same thing twice by mistake, the office doesn’t charge it twice. That’s covered.

You can work the whole day in airplane mode and wrap everything up once you reach a place with signal.

The colored dot

In the top right corner of almost every screen there’s a dot. It shows the status of your outgoing items. Look at its color and shape:

What it looks likeWhat it means
Green, solidConnected and everything sent. Nothing pending.
AmberSome of your items are waiting to go out, or there’s no signal. That’s normal on the road.
RedSomething needs your decision. It won’t go out by itself: you have to open it.
Blue, with a bar«Estamos ejecutando mejoras» (“We’re rolling out improvements”). It’s not your phone: the office is updating the system. It comes back by itself in a few minutes.
Crossed-out ringNo connection. Keep working as usual.

The dot pulses when you have something waiting, and an arc spins around it while it’s sending.

The panel: tap the dot

The Zentrix Sales sync panel: “Conectado · todo enviado” (Connected · all sent), the “Sincronizar ahora” (Sync now) button and the line “9 de 9 datos al día · lo más viejo, hace 23 h” (9 of 9 data sets up to date · oldest, 23 h ago).
The status in plain words, the button to send everything at once, and how old each piece of data is.
  • At the top, the status: «Conectado · todo enviado» (“Connected · all sent”), «Sin conexión · 3 por enviar» (“Offline · 3 to send”), «1 envío necesita tu decisión» (“1 item needs your decision”).
  • The «Sincronizar ahora» (Sync now) button, to send and download everything at once without waiting.
  • «Por enviar» (To send) and «Necesitan tu decisión» (Need your decision), counted by type (orders, visits, collections…).
  • «Para trabajar sin señal» (For working offline), with how many of your data sets are up to date. Expand it to see them line by line: customers, prices, catalog, available stock, exchange rates, customer debt…
Screens tell you how old the information is

When what you’re seeing comes from what’s saved on the phone rather than from the office, a small line appears at the bottom: «Facturas guardadas en el teléfono el 18/09 a las 07:12» (“Invoices saved on the phone on 09/18 at 07:12”).

That’s not an error. It’s there so you know how old the figure is before you tell the customer.

Sync every morning

With good Wi-Fi or a good signal, open the app, tap the dot and hit «Sincronizar ahora» (Sync now). Wait until it says all your data is up to date.

That way you take the day’s prices, catalog, customers, their debts and exchange rates with you in the car. From then on you can work without signal and not be missing anything.

If something says «No se pudo enviar»

Seeing amber or «por enviar» (to send) isn’t a problem: that goes out by itself. What you do need to look at is red, or an order that says «No se pudo enviar» (“Couldn’t be sent”). Do this, in order:

  1. Find a signal and wait a minute

Most of the time it sorts itself out as soon as you get internet. Don’t touch anything yet.

  2. Open the panel and read the reason

Tap the dot. Items that need your decision have a direct link («Ver pendientes en Pedidos», “See pending in Orders”). Open it: the app tells you why.

  3. Act on what it says

«No salió de tu teléfono» (“It never left your phone”) or «Se rindió después de diez intentos» (“Gave up after ten attempts”): tap «Reintentar» (Retry) once you have signal. «Sin stock» (Out of stock): lower the quantity or discard it. «La oficina lo rechazó» (“The office rejected it”): sending it again as is won’t help; you need to rebuild it or let someone know.

  4. If it happens again, report it

Give the order number or the customer and what the screen says. Nothing deletes itself: until you discard it, it stays there.

The panel also has «Reintentar los envíos que se rindieron» (Retry items that gave up), which puts them all back in the send queue at once.
