How the screen works
At the top are the three sub-tabs. Below them, all three have the same things:
- A search box: type the customer, the RIF (tax ID) or the number.
- Chips with counts: each one says how many there are and, when you tap it, shows only those. The first is «Todos» (All) and brings everything back.
- The «Filtros y orden» (Filters and sort) button, to the right of the search box, to filter by customer or date, or change the order.
In «Pedidos» (Orders), the button in the corner creates a new order.
«Abiertos» are your drafts
The «Abiertos» (Open) chip groups the orders you started and didn’t finish. The card tells you since when and which step you stopped at: «Lo empezaste hace 6 días · quedó en Pedido» (“You started it 6 days ago · stopped at Order”).
Tap it and you pick up where you left off, with everything you had entered. Nothing is lost. The trash can button discards it if you no longer want it.
Order statuses
Every order has a status. Here’s what’s happening with each one:
| It says | What’s happening | What you do |
|---|---|---|
| En tu teléfono (On your phone) | It hasn’t gone out yet. It goes out by itself when there’s signal. | Nothing. Wait. |
| Enviando (Sending) | It’s on its way to the office right now. | Nothing. |
| Esperando analista (Waiting for analyst) | It reached the office. It still needs to be approved. | Nothing. If it’s urgent, let someone know. |
| Retenido (On hold) | The office held it because of the customer’s credit. | Collect what they owe and, if you didn’t do it during the visit, request approval. |
| Confirmado (Confirmed) | Approved. The order goes to dispatch. | Nothing. Done. |
| Cancelado (Canceled) | The office voided it. | Ask why. |
| Sin stock (Out of stock) | There isn’t enough of some product. | Open it and decide what to do. |
| Rechazado (Rejected) | The office rejected it. Sending it again won’t help. The order shows you the reason Odoo gave, word for word — for example, that this company doesn’t allow liquor to be mixed with other products — and the alert you receive says the same. | Read the reason and rebuild it the way it says. |
| No se envió (Not sent) | It was tried many times and didn’t go out. | Tap «Reintentar» (Retry) or let someone know. |
The chips at the top group these same statuses: «Todos» · «Abiertos» · «En proceso» · «Con analista» · «Retenidos» · «Confirmados» · «Cancelados» · «No se enviaron» (All · Open · In progress · With analyst · On hold · Confirmed · Canceled · Not sent).
If an order says «En tu teléfono» (On your phone) for a long time, don’t enter it again. It already exists. Get online for a moment and it goes out by itself.
What you can do with an order
Tap the card to open the details. Depending on where it stands, different buttons appear at the bottom.
| Action | When it appears | What it does |
|---|---|---|
| Repetir este pedido (Repeat this order) | On any order that’s already at the office and has lines. | Opens a new one with the same products and quantities, so you can adjust it and send it. It doesn’t duplicate the old one: it’s a separate order. |
| Editar pedido (Edit order) | Only while it’s «Con analista» (With analyst). | You change quantities and the note. Once it’s confirmed it can’t be touched: that’s the office’s call. |
| Cancelar pedido (Cancel order) | As long as the office hasn’t confirmed it. | Voids it and releases the stock it had reserved. |
| Nuevo pedido a este cliente (New order for this customer) | Always. | Starts one from scratch for that customer, without copying anything. |
| Conversación (Conversation) | On every order that has reached the office. | Talk to whoever is reviewing it. See Talking to the office. |
Canceling can’t be undone. If the customer wants it later, you have to build it again.
And there are two different kinds of cancellation, even though the button has the same name:
- If the order is still on your phone, canceling it deletes it from there and the office never knew it existed.
- If it has already arrived, it’s voided there. And if the office already confirmed it, it can’t be done — the app tells you on the spot.
If it bounced for lack of stock
When you build an order without signal and, by the time it goes out, there isn’t as much available as you ordered, the order bounces. It’s almost never lost: the office tells you how much is left of each product.
On the bounced order, here in Actividad › Pedidos (Activity › Orders), tap «Ajustar» (Adjust): you lower the quantities to what’s available and send it again. You ordered 20 and there are 6 left: six cases sold beat none.
- Prices don’t change. They’re still the ones you quoted the customer.
- It’s the same order, with different quantities — not a new one. That’s why nothing gets duplicated even when it’s resent.
Visits
Everything you’ve visited is here. The chips are «Todas» · «Hoy» · «Con pedido» · «Sin pedido» · «Abiertas» (All · Today · With order · Without order · Open).
The two that depend on you always sit at the top of the list:
- «Quedó abierta» (Left open) — you checked in and didn’t close it. Tap it to finish it.
- «Cerrada, por enviar» (Closed, to send) — you closed it properly and it’s waiting for signal to go out.
Returns
The goods a customer returned to you. Every return starts in step 5 of a visit and shows up here with its reference number, the date, the products and how many units it has.
Search by customer, RIF, reference or product — it’s how you answer “what about that case of whisky I returned to you?” without leaving the screen. The chips are «Todas» · «Por enviar» · «En la oficina» · «Recibidas» · «Canceladas» (All · To send · At the office · Received · Canceled).
«En la oficina» (At the office) is not «Recibida» (Received).
- «En la oficina» means the return arrived and was logged, but the warehouse hasn’t counted the goods yet.
- «Recibida» means the warehouse has checked it and accepted it.
While it says «En la oficina», don’t promise the customer they’ve been credited anything.
Picking up the goods
When the goods need to be picked up from the customer, the return also carries the pickup status: a pill on the card and in the details that tells you how it’s going. This is the path it follows, and the exact name of each status is set by the office:
| It says | What it means |
|---|---|
| Retiro por aprobar (Pickup pending approval) | You requested it and it’s waiting for the Sales Manager to approve it. |
| Retiro rechazado (Pickup rejected) | It wasn’t approved. In the details, at the top and in red, is the reason. If the office didn’t write one, the app says so and tells you to ask in the conversation. |
| Retiro aprobado (Pickup approved) | Approved. Logistics still needs to schedule it. |
| Retiro programado (Pickup scheduled) | It now has a date to stop by the store. |
| Mercancía retirada (Goods picked up) | They’ve been collected from the customer. |
| Recibida en almacén (Received at warehouse) · Auditada (Audited) | It reached the warehouse and they’re counting it. |
| Devuelta (Returned) | The warehouse accepted it. |
| Nota de crédito emitida (Credit note issued) | Done: the customer has been credited. Now you can tell them. |
The colors help you read it at a glance: red for rejected, amber for in progress, green for finished.
- When it’s approved or rejected, you get an alert, and tapping it opens that return.
- The list filter shows a «Retiro» (Pickup) section: «Por aprobar» · «Rechazado» · «En proceso» · «Devuelto o acreditado» (Pending approval · Rejected · In progress · Returned or credited). It only appears if one of your returns has a pickup.
- If the office canceled the return, the card says «Cancelada» (Canceled) in red, even if the pickup was left at “approved.” Don’t wait for any truck.
- Returns that are still on your phone don’t have a pickup yet: that starts when they reach the office.
If something says «Por enviar» (To send) or «No se pudo enviar» (Couldn’t be sent), it’s still on your phone. The first fixes itself once there’s signal; the second needs a look. Tap the card to see the reason.
