Log an incident
An incident is something that happened at the gate and doesn’t depend on a truck or a document: a power outage, a damaged door, an intruder, a theft. Incidents are turned on per site: if you don’t see the Novedad (Incident) tile in Registrar (Register), your site doesn’t use them yet.
- Tap «Registrar» › «Novedad» (Register › Incident).
- «¿Qué pasó?» (“What happened?”) Tap the picture.
Odoo loads the incident types for your site.
- «¿Es grave?» (“Is it serious?”) Tap Sí (Yes) or No.
Serious means, for example, a theft or someone inside.
- Take photos, if they help.
Up to three, and only of things: no people. You can continue without a photo.
- «Dilo corto» (“Keep it short”).
Two or three words. Type them, or tap the keyboard’s microphone and speak. The app doesn’t record audio.
- Sign with your PIN.
At the end: «Novedad anotada» (“Incident logged”). Tap Hoy (Today).
Don’t write names, ID numbers or phone numbers. If you type six digits in a row, the app won’t let you continue: «Sin números largos. No escribas cédulas ni teléfonos.» (“No long numbers. Don’t write ID numbers or phone numbers.”)
If Odoo has no types loaded: «Odoo no tiene tipos de novedad en esta sede. Llama al supervisor.» (“Odoo has no incident types for this site. Call the supervisor.”)
Serious incident
If you answer Sí (Yes) to «¿Es grave?» (“Is it serious?”), the screen turns red: «Novedad grave» (“Serious incident”) and «Llama al supervisor ahora» (“Call the supervisor now”). Call right from that screen.
When the incident reaches Odoo, Odoo notifies the site manager. The final screen confirms it with «Gerente avisado» (“Manager notified”). The app doesn’t send the alert: Odoo does, once the incident is sent.
Call from the app
Screens that call for care have call buttons: Llamar al supervisor (Call the supervisor), Llamar a Despacho (Call Dispatch) and Llamar al gerente de sede (Call the site manager). Below each one you see who you are calling and their work phone.
- The app doesn’t place the call itself: it opens the phone’s dialer with the number filled in.
- If nobody answers, when you come back you see Llamar al siguiente: … (Call the next one: …) with the next person on the list.
- People on the current shift come first, day or night. Those on the other shift come after.
- The call is logged with the time: «Llamaste a las …» (“You called at …”).
| Message | What you do |
|---|---|
| «No hay teléfono cargado para el supervisor. Búscalo antes de dejar salir.» (“There’s no phone number for the supervisor. Find them before letting anything out.”) | Find them in person. Tell the administrator the number is missing. |
| «Sin señal: no pudimos traer el teléfono del supervisor…» (“No signal: we couldn’t get the supervisor’s phone number…”) | Find them in person, or look in Teléfonos (Phones). |
| «No se pudo abrir el marcador. Marca a mano: …» (“Couldn’t open the dialer. Dial by hand: …”) | Dial that number on the phone. |
Phones
In Más › Teléfonos (More › Phones) you’ll find the site’s contacts: supervisors, managers and Dispatch, with their work phones. There are two tabs: Día (Day) and Noche (Night). It opens on the current shift. Tap a contact to call them.
It works without a signal: the phone keeps the last list it received. The “i” shows when it was last updated. If a month goes by without an update, the list is deleted. If there are no contacts: «Sin teléfonos» (“No phones”). Find the supervisor in person.
«¿Quién autorizó?» (“Who authorized it?”)
When something leaves with a critical difference (a truck) or without a pass (an asset), the app asks who authorized you. What you choose goes into the record with the time.
- Call first.
Use the call buttons. The people you called appear at the top of the list, with the time.
- Tap the person who authorized it.
Only contacts who can authorize are listed. Dispatch doesn’t authorize.
- If nobody authorized it, tap «Nadie» (Nobody).
It’s always at the bottom.
- Sign with your PIN.
«La app no retiene el camión: decide el supervisor.» (“The app doesn’t hold the truck: the supervisor decides.”) You call and note what you were told. The decision isn’t your responsibility.
